Concordia College Administrative Assistant - Center for Holistic Health in Moorhead, Minnesota

Responsible for receptionist duties, general office duties, budget reconciliation, various computer program competence and willingness to learn, and other duties as assigned within the Center for Holistic Health (comprising of the offices of Counseling Center, Disability Services, and Health Services). 1. Receptionist Duties: Manage all daily operations of the Counseling Center, Disability Services, and Health Services offices, including opening and closing the office, answering telephone calls and emails, and maintaining the appearance and security of the premises. Greet students/anyone who visits the Center for Holistic Health. Serve as the initial point of contact for students seeking services, and answer students questions/concerns. Obtain preliminary information from students when scheduling appointments. Schedule, maintain, and update appointments using Titanium and Accommodate scheduling software. Assist with social media accounts and website updates. Other duties as they arise. 2. Office Management: Maintain accuracy of all professional staff schedules, including student appointments, meetings, workshops, and all appointment activity using Titanium and Accommodate scheduling software. Maintain an accurate and up-to-date website. Assist Center for Holistic Health team members with social media updates. Stay current on on-campus technology as it affects the Center for Holistic Health. Update old forms when needed and design new forms when requested. Collect and compile data for various office reports. Keep records for all data reporting; compile key information around assessment activities for the Center. Purge and shred client files according to retention guidelines. Set up student files. Collect, open, and distribute mail. Keep inventory and order supplies. Update and keep current the client database files.m. Competence with Titanium Scheduler, Accommodate and other programs, and/or the ability to find the answers to questions regarding that computer program. Other duties as assigned. 3. Special Services Program: Keep a record of student workers readers, tutors, scribes, and word processors. Arrange team meetings and consultations with faculty, parents, prospective students, etc. Aide Director in coordinating early registration procedures and early housing procedures. Work with other campus offices to implement special testing accommodations. Act as a point of contact for vendors. Work with Learning Ally, Access Text, Bookshare, and other various publishers, in the following capacities: Institutional memberships and Ordering books in alternative formats. 4. Budget: Assist in the preparation of the annual budget. Reconcile budget report against expenditures each month. 5. Confidentiality: Maintain strict confidentiality regarding client information. 6. Other Responsibilities: Manage/update/contribute to various projects in association with SDCL s Curriculum Approach. Occasionally work outside of normal business hours in support of signature programs, or in response to campus crises. When appropriate, participate in product demonstration meetings.
