The Finance Analyst is a member of the Student Unions & Activities (SUA) and University Recreation and Wellness (RecWell) finance teams, and reports directly to the Student Affairs Finance Manager 2 (FM2). The Finance Analyst ensures that accurate and timely financial information is provided to unit leadership by gathering, interpreting, and analyzing data from numerous sources. This position will be responsible for both sponsored and non-sponsored finance management functions focusing on budgeting, reporting and forecasting, transaction support and approval, and reconciliation. This position will serve as a member of the team's grant support and certified approval workgroup. Salary Range: $86,000 - $90,000 Major Responsibilities Unit Financial Activity Management- 40% Lead recurring meetings with unit leaders and project partners to review financial outcomes, provide variance to budget analysis, and proactively identify risks and opportunities Implement budget planning, financial modeling and resource allocation strategies for the units Consult and train on accounting standards and procedures, internal controls and university policy to managers and administrative staff. Educate others as to the allowability of expenses and best practices Review and approve financial documents (i.e. Level 1 requisitions, vouchers, reimbursements, pcards and journal entries) with consideration to fund availability and budget plan for assigned units Reconcile monthly activity for assigned units Manage available funding within designated Foundation Funds Communicate with supervisor and unit leadership regarding potential deficits Interpret and apply financial policies to support unit programming Track commitments and analyze various leadership initiative accounts for assigned units Coordinate the transfer of funds across the University system to fulfill unit commitments Serve as department card administrator for purchasing and travel cards Oversee Delegations of Authority process for SUA and RecWell Annual Budget Process Management - 30% In partnership with the FM2, coordinate the budget process for SUA and RecWell. This includes meeting with unit leaders to shape budget submissions, suggest reallocations, interpret the budget instructions and provide financial analysis to inform the budget process. Coordinate the budget entry process for assigned units Interpret budget instructions for units Set and monitor internal deadlines Manage and review budget entry for accuracy and structure Develop and balance several unit budgets Submit final and balanced budgets to the FM2. Implement year-end closeout of operational budgets Manage a team of finance professionals -20% Manage a team of finance professionals coordinating financial management, financial statement preparation and financial reporting, coordinating year end activities, and overseeing accounts payable, accounts receivable, procurement activities, Chrome River, grants and/or contract administration, and fiscal year end Determine workload and unit assignments of finance professionals to ensure that work is done in an equitable, timely and accurate manner Maintain efficient and effective processes and systems among the finance professionals that comply with University policy and procedure Grant management and support - 10% Serve as liaison between project leaders (principal investigators) and the Office of Sponsored Projects Administration (SPA) Maintain knowledge of university policy and grant compliance and assist principal investigators with navigation throughout the project lifecycle. This includes budget preparation, proposal submission, project kickoff, and project monitoring Coordina e pre-/post-award support for assigned units in conjunction with PIs Coordinate with Finance and HR partners to ensure accuracy of grant activity Coordinate with SPA/SFR at major milestones during the life of the grant Qualifications Essential Qualifications BA/BS degree with at least 6 years of related experience in finance, accounting, or business Strong oral, written, and interpersonal skills, and the ability to communicate effectively with diverse audiences Preferred Qualifications Ability to build and update financial reporting from university systems Working knowledge of the University's finance policies, procedures, and processes Proficient in working in EFS (Enterprise Financial System), HRMS (PeopleSoft Human Resources), UM Analytics Excellent organizational skills and ability to prioritize multiple and sometimes competing projects and assignments Current U of MN employee Certified Approver status or willingness to become a Certified Approver within the first year (training provided) About the Department The Finance Analyst will work with the Office for Student Affairs, primarily with Student Unions and Activities and University RecWell which includes the Les Bolstad Golf Course. Student Unions & Activities (SUA) is a unit within the Office of the Vice President for Student Affairs at the University of Minnesota. SUA provides a variety of programs and services to the University community that enhance the social, educational, and cultural environment of the University of Minnesota. This includes retail services, facility rental, space for individual and group activities, entertainment and educational programs, oversight of student activities, and involvement with diverse student groups. SUA operates three facilities: Coffman Memorial Union on the East Bank campus, the St. Paul Student Center, and retail services on the West Bank campus. The department has an annual budget of $16.8 million. SUA is funded by student fees and revenue generated by the department. The department has approximately 65 fulltime staff, representing all employee groups except faculty, and approximately 200 student employees. SUA provides opportunities for students to enrich and complement their academic experience by integrating student learning outcomes with student employment. University Recreation & Wellness (RecWell) is a department within the Office of the Vice President of Student Affairs (OSA). RecWell offers hundreds of recreation, wellbeing, exercise, and sport programs and services and operates the University Recreation and Wellness Center, University Aquatic Center, University Fieldhouse, St. Paul Gymnasium, Student Recreational Sports Field Complex (Dome), West Bank Fields, St. Paul Soccer Fields, St. Paul Tennis Courts, and Les Bolstad University Golf Course. RecWell is funded by a combination of student fees and self-generated revenue. Revenue is received through online sales, 10 point- of-sale locations, and beverage carts during golf season.
