Blessing Hospital Staffing/Scheduling Specialist - Hospital in Crosby, Minnesota
POSITION SUMMARY
The Staffing/Scheduling Specialist manages staffing and scheduling for ICU, Med/Surg, Emergency Department, OB, Wound Care, and Ambulatory Clinics and oversees electronic timekeeping for current nursing personnel. They will manage and prioritize multiple tasks effectively to meet deadlines and scheduling requirements and address and resolve scheduling or staffing issues promptly. Must demonstrate clear and effective interactions with team members and other stakeholders. The Staffing/Scheduling Specialist must be proficient with phone, computer, and scheduling software. The schedule for this position is Monday-Friday and is on-site.
POSITION QUALIFICATIONS
Education and Experience:
Minimum of two years of college required. Previous healthcare or scheduling experience with e-time systems preferred. Experience in using Microsoft Word, Excel, Access, Power Point, and Windows environment.

ESSENTIAL RESPONSIBILITIES
- Assess and adjust staffing levels using electronic scheduling system.
Follow staffing guidelines and procedures, adhering to yearly scheduling deadlines
Monitor attendance and staffing trends.
Understanding of staffing patterns and their construction.
Knowledge of Union contracts, RN Employment Policies and Medical Center personnel policies.
Knowledge of Hospital Nursing Services personnel forms, records, reports.
Knowledge of payroll procedure.
Daily collaboration with departments to ensure appropriate staffing levels.
Working knowledge of policies and compliance as it relates to conditions of employment.
Create and maintain filing systems for personnel records and scheduling documentation.
Prepare and process documents, reports, and correspondence related to staffing and scheduling.
Handle incoming and outgoing communications, including emails and phone calls.
Coordinate and schedule meetings, appointments, and training sessions.
Take detailed minutes at meetings and distribute them as needed.
Maintain and organize office files, records, and documents both physically and digitally.
Assist with data entry, report generation, and document preparation as needed.
Assist with the onboarding process for new employees, including preparation of documentation and orientation scheduling
Assist and coordinate meeting schedules.
Ability to prioritize and distribute information to staff related to schedules, time keeping and payroll
Assist with requisition process for replacement/new positions.
Oversee the onboarding process for new employees.
Demonstrate Four Commitments when other duties are assigned.
